TERMS AND CONDITIONS FOR CLAR’S ESCAPES SPECIAL EVENT PACKAGES
Making reservations with Clar’ Escapes Travel packages for this Special Event signifies your acceptance of our Terms and Conditions.
Payments and Policies:
You must make your reservations in the name that is on your government issued identification you will use to check-in at the hotel.
All Deposits and Payments for Special Event Packages are Non-Refundable as a result of contractual obligations with our vendors. Although Non- refundable, your initial deposit is applied to your total package.
Travel insurance is strongly recommended to protect your trip. (There are restrictions that apply to travel insurance, so it is your responsibility to contact the travel insurance company and determine the right plan for your needs. ( Certain restrictions apply). If interested in travel insurance, please feel free to contact these companies for a no obligation quote.

Deposit for special event packages are due by the date specified, no exceptions. All reservation deposit payments are non-refundable, and due on or before payment due date unless specifically stated. If monthly and final payments are more than 10 days late, Clar’ Escapes Travel has the right to cancel the reservation and all monies paid to date will be forfeited.
Our Guests who purchase our Hotel and Concert Packages for Essene Festival, you will receive your Hotel Reservation # during the 2nd week of June and you will be picking up your concert tickets, party passes and welcome gift bags on July 6th. We will email you the location of where to pick up your items.
You may resell your package to another person; however, you CANNOT TRANSFER MONEY to someone else within that group or any other group. It is your responsibility to resell your package and provide this notification in writing with the replacement name. Payments must continue to be made monthly to keep the reservation secured. (Due to the high demand of Essence Packages, this payment plan will be strictly enforced.)
The group leader will pay “his or her” first deposit. (To form the Group) Then, all other roommates can make their deposit within 48 hours. A payment can be made on the website or a Paypal Invoice can be sent directly to your email. It is extremely important for the group leader to fill out the registration form and list everyone’s email address and phone number accurately.
In order to lock in your package, the remaining group members have 48 hours to make their initial deposit. If a group member does not make his or her deposit within the 48 hours time frame, we will revise the Package Price to reflect the occupancy of all roommates who have made a deposit.
Example: (If the group leader registers 4 guests, and only 3 members make their deposit, the package price will be revised to a Triple Occupancy)
After initial deposit, each roommate can pay separately via the payment options provided. If a cancellation occurs where one or more travelers alters the room occupancy requirements, the remaining travelers will be required to pay a revised occupancy rate. We regret that we cannot make exceptions to this policy for personal emergencies or for any reason, including weather, acts of God, terrorism, civil unrest or government action (deployment).
CHANGES TO GROUP
You can make up to 2 changes to your group (No Charge). After the 2nd change, we reserve the right to charge a $25.00 change fee.
METHOD OF PAYMENTS:
Payments for Special Event Packages can be made online via PayPal on our website or mailed directly to us. Paying online with your credit card is the most convenient method of payment. You do not have to have a PayPal account to register for a package and make payments. Just click on the section that says, “Pay with a Credit or Debit Card. There will be a 3% service charge for Payments requested to be paid by your credit card over the phone. A credit card authorization form to make the payment on your behalf will need to be signed and submitted.
This payment option on the website is made available through a secured gateway and your credit card is not stored in our website. There are no PayPal Processing Fees if you make your payment directly on our website or a Paypal invoice is sent to you. After browsing our site for packages you wish to purchase, just place your order online. This information is completely confidential, and will not be revealed due to the secured gateway method. You will be issued a receipt through PayPal. Please keep your receipt for this will be your only receipt.

Payments made through EventBrite or Square, are assessed a service fee and travelers are responsible for such fees. Service fee charges via Eventbrite or Square do not decrease your trip balance.
FINAL PAYMENT POLICY:
To grant an extension on your final payment, you cannot be behind on your monthly payments. NO EXCEPTIONS.
All final payments are due on the date specified for the event package. Payments that are being mailed in must be postmarked by the payment deadline date. Any payments received after the deadline date, will incur a $25-$50 late fee and will need to be paid no later than 10 days after the payment deadline date or you are at risk of your room being forfeited. Late Fees will apply for payments not made by the Final Due Date of your Booked Event!
If your final payment that is being mailed in is not postmarked by the Due Date of you package, you will incur a late fee. No Exceptions! A late fee invoice will be sent to you via Paypal.

ALL DEPOSITS AND PAYMENTS ARE NON-REFUNDABLE DUE TO HOTEL AND TRANSPORTATION CONTRACTUAL OBLIGATIONS!
Hotel room assignments are at the discretion of the selected hotel and not Clar’s Escapes Travel. All Rooms are Standard Rooms and either have 1 King Bed or 2 Queen Beds, unless specified in your Package description. Credit Card Policy- Each Hotel will require at least one person in the party to present a credit card or debit card at check-in for incidentals. Hotel confirmation numbers will be given to all Registered Paid Guests approx. 2 weeks before each event. If the final payment is not paid by 11:59 PM of the due date that is specified, a late fee will be applied immediately in the amount of $25-$50.
Clar’s Escapes Travel LLC, also reserves the right to increase the late fee if the final payment is not made within a reasonable period of time. We will notify you by email, the late fee increase charge. Everyone must be 18 years or older to ride the motor coach.
Concert and Event Tickets:
All Concert and Event Tickets will be picked up at Registration directly at the Hotel on the date specified. There will be no tickets mailed directly to you. Please contact us if you need more info. about this policy.
LIMITED TERMS AND CONDITIONS:
Clar’ Escapes Travel LLC and any sponsoring institution, is acting only as an intermediary and agent for suppliers in selling services, or in accepting reservations or booking for services which are not directly supplied by Clar’ Escapes Travel LLC such as hotel accommodations, ground transportation, meals, tours, event and concert tickets and cruises. Clar’ Escapes Travel LLC and any sponsoring institution, therefore, shall not be responsible for breach of contract or any intentional or careless actions or omissions on the part of such suppliers, which result in any loss, damage, delays as a result of weather or any conditions or injury to you or your travel companions or group members.
Clar’ Escapes Travel LLC shall not be responsible for any injuries, damages or losses caused to any traveler in connection with terrorist activities, war, insurrection, social or labor unrest, mechanical or construction difficulties, diseases, local laws, climactic conditions, weather conditions, abnormal conditions or developments or any other action, omissions or conditions outside the coverage against them. Your retention of tickets, vouchers or booking after issuance shall constitute consent to the above and an agreement on your part to convey the contents here to your travel companions or group members. Refunds cannot be given due to any of the conditions above.
The Client/Customers, by engaging with Clar’ Escapes Travel LLC and making deposit and/ or full payment for the package arrangement specified, acknowledges the position of Clar’ Escapes Travel LLC as stipulated by the foregoing and agrees to hold Clar’ Escapes Travel LLC blameless in making the arrangements on his/her behalf, provided same shall be made through generally acceptable suppliers at the time of engagement, and further agrees that restitution of damages, if any are claimed, shall be sought directly from the suppliers. The Client also agrees to the terms and conditions of the tour and services as set forth by the suppliers. Rates are subject to changes without notice. Hotel, tours and event tickets are subject to availability. Payment of deposit or full payment shall constitute consent of all provisions stated herein.
All Client/Customers, who register their email and/or purchase Travel Packages or other services from Clar’ Escapes Travel LLC through dedicated sites, by phone, or fax, will be considered customers of Clar’ Escapes Travel LLC. We reserve the right to change times, locations, event packages and venues of any event listed. We reserve the right to exchange any option listed without notice. However, any changes in options will be equal to the listed option. We have the right to refuse service to anyone and Clar’ Escapes Travel LLC will exercise that right.
